Hour Allocations

Allotted hour budgets moving forward are categorized by service area, per project. That includes services such as Design, Ads, Web, and we have newly introduced Strategy as its own service with attached deliverables.

In the case that you have a role directly tied to a service (e.g. Strategist providing Strategy, or a Designer providing Design), you will be the primary assignee responsible for using those allocated hours. However, there is room for some crossover sharing of hours where helpful (e.g. Strategist helping create design assets or a Project Manager helping produce a report on behalf of the Strategist being unavailable).

Project Management time should be tracked against Operations hour budgets.

The hours allotted are maximum hours per month for each project. Aim to get within 20% of the max hours allowed without going over. For example, if there are 30 hours assigned to your service, delivering 24-30 hours is appropriate.

Time Tracking Meetings

Hours in meetings (when project or service specific) should be tracked and counted towards a projects total.

Moving forward, team members should tag their meeting hours with their respective service / department. For example, a strategist meeting with a designer and a project manager should result in three hours of tracked time, one from strategy, one from operations, and one from design.

Other Projects

We have also reviewed the current budgeting for standard web dev projects (tiers 1 through 3) and will be providing new hour allocations per workflow phase (e.g. Onboarding, Design, Dev, QA) within the next couple of weeks.

All internal intitiatives are in the process of being rebudgeted and will also have newly assigned hours soon. In the meantime, each operations member can expect to spend an hour per week in global operations meetings as well as five hours per month for OBT (including meetings).

Quality Standards

The quality standard for our websites, reports, social media calendars, etc go beyond using standard templates or automating with tools like ChatGPT. Reserve ChatGPT for quickly exploring ideas.

Focus on simplicity in structure to leave room for creativity in content and visuals. Cut through the noise to communicate the core message.

Web Recommendations

Focus on how a user feels while interacting with the site. Add subtle animations, create video loops, and layer in unexpected design elements that make the site feel alive and engaging.

  • What small interaction details will make users curious to explore further?

  • What can you include that the client didn’t ask for but will appreciate?

Comms + Reports

Strip every email or report down to its core message. Use bullet points, large headlines, and clear structure so nothing gets lost in a wall of text.

  • How can I communicate this so a wider audience will understand?
  • How can I create curiosity with this communication?

Include thoughtful details that shows you’ve done your research, with influencer outreach for example. Reference a specific post or element of their content to make the communication personal and intentional.
